  • Please use the Committee Roster Posting Form to update your committee members.   Please be sure to keep your committee members updated on the website and let us know of changes as soon as possible.
Committee Chair Responsibilities:
USGBC EVENT PLANNING

Please use the following steps and forms when planning USGBC Sponsored events.

Step 1: Has the event been held in the past?

 

Step 1a: No - If the event has not been held before, it requires approval of the Board of Directors.  Please use the Go/NoGo Form to prepare the basic details of the event before presenting to the board.

Upon approval and comment of the Board of Directors, proceed to Step 2.

Step 1b: Yes - The event has been held before. Proceed to Step 2.

Not sure which events qualify?  Chapter Business Meetings, Boat Cruise, Holiday Party, LEED AP Study Session, LEED Extra Credit, Trolley Tour

 
Step 2: Submit Event Details to the Marketing Committee

Step 2a: Begin to gather details of your event using the Event Planning Form.  It is important to begin this process early so that all details are worked out.

Step 2b: Complete the Event Planning Form.  Once the details of this form are complete, send it to the Administrative Coordinator at the Chicago Chapter, events@usgbc-chicago.org.  If the form is not complete, the event will not be created.

Step 2c: The Chapter will review the form.  If questions develop, staff will interface with the event contact.

Step 2d: The Chapter will create the c-vent website for the event.  The c-vent website will allow registrations to begin for the event.  The event will be listed on the USGBC - Chicago Chapter website and in the event calendars.

Step 2e: Email Invitations will be send out.  Email invitations can be sent to target groups.  Do you have a group of contacts you would like to invite?  Please use the format in the attached excel file to submit these contacts.

Step 2f: The event will be included in the weekly events reminder.

 
Step 3: Additional Marketing Assistance

Does your event require additional marketing assistance? Examples include creation of a brochure, sect. Please note, the marketing committee has to review all graphics and text to make sure Chapter materials adhere to the National Branding Requirements. The National Branding requirements include the use of specific fonts, colors and logo graphics.

Step 3a: Determine your initial event needs

Step 3b: Submit Marketing Assistance Form to the Marketing Committee, marketing@usgbc-chicago.org

Step 3c: Marketing will review the form. Marketing will being working with the event contact.

Step 3d: Marketing will create collateral. Printing and feedback schedules will be established.

Step 3e: Collateral will be reviewed and finalized.

Step 4a: Please use the attached form to assist in the creation of the trolley brochure.
